Receptionist - Edmonton

Our Edmonton office has an immediate opening for a full-time Receptionist. This role serves as the primary point of contact for clients and visitors, providing exceptional front-line service with a high level of professionalism. The Receptionist supports lawyers, staff, and clients through effective communication, strong organizational skills, and a steadfast commitment to confidentiality. This position plays a key role in delivering high-quality administrative support and ensuring the smooth and efficient daily operation of the law firm.

- Provide professional and welcoming experience by greeting clients, visitors, and vendors.
- Manage and operate the multi-location switchboard for Yellowknife and Edmonton offices, while providing reception coverage for the Calgary office when needed.
- Handle and route incoming cold calls with professionalism, accuracy, and discretion.
- Maintain a clean, organized, and client-ready reception area and boardrooms.
- Process and distribute incoming faxes, payments, courier packages, and all incoming/outgoing deliveries.
- Schedule and manage boardroom bookings for internal and external meetings.
- Provide support to the Office Services team.
- Enter and monitor limitation dates for Edmonton assistants and lawyers with a high degree of accuracy.
- Maintain and update SPIN2/Land Titles login credentials.
- Update and distribute the firm’s Field Bulletin to ensure staff have current information.
- Coordinate and support charitable fundraising initiatives such as Pink Ribbon Denim Day, Hats for HOPE, and Canadian Cancer Society campaigns.
- Serve as a witness for signatures for lawyers as required.
- Monitor and maintain the AED unit.
- Maintain and update internal office telephone lists for all office locations.
- Manage an Excel database for visiting lawyers and coordinate workspace arrangements.
- Administer and maintain the firm’s annual flu shot program.
- Prepare and organize New Hire Welcome Packages to support the onboarding process.
- Coordinate seasonal activities, including the setup of the firm’s Christmas tree.
- Provide support to the Social Committee for office events and initiatives.
- Other tasks as required.
Qualifications + Skills
- 2+ years of experience working in a law firm or similar professional setting.
- Proficiency with multi-line phone systems and reception software.
- Strong understanding of confidentiality requirements and legal office protocols.
- Basic knowledge of legal terminology and processes is an asset.
- Excellent verbal and written communication skills.
- Strong professional presence and client-service mindset.
- Ability to remain calm, courteous, and efficient in a fast-paced environment.

The role ensures timely, accurate, and compliant processing of debt recovery matters across multiple courts and registries.

- Obtaining Courthouse searches

- Gathering disbursements for Bill of Costs

Our Calgary/Edmonton office is looking for a corporate paralegal to service our Yellowknife Corporate Services Department. Reporting to the Manager, Corporate Services, this is a role where you will work with several of our firm’s team members and will be responsible for completing a variety of corporate transactions, including but not limited to incorporations, dissolutions, revivals, share transactions, extra-provincial registrations and maintenance, director and officer changes, annual compliance for Alberta and Federal corporations, and performing due diligence searches.

Duties + Responsibilities
- Attendance to drafting and reviewing of documents regarding amendments for corporations in the Northwest Territories, Nunavut, Yukon and Federally
- Oversee and coordinate extra-territorial registrations in the Northwest Territories, Nunavut, Yukon, and ensuring ongoing regulatory compliance
- Registration of Limited Partnerships, both domestic and extra-territorial, including ongoing filings and structural changes
- Maintain oversight of corporate records by managing entries into corporate databases and document management systems, ensuring data integrity and consistency

Qualifications + Skills
- Completion of a paralegal diploma or certificate preferred with a minimum 3 years’ experience as a corporate paralegal
- Experience in all aspects of NWT, Nunavut and Yukon corporate work required, Alberta CORES II work and accreditation is an asset
- Experience with ALF is an asset

- Access and use online patent office websites and databases.

Qualifications + Skills
- 2+ years of experience preferably working in patents and trademarks.
- Experience in patent and trademark prosecution preferred.

- Extremely proficient with technology, database management, software, strong computer skills, and eagerness to learn new technologies.
