  • Office Services Clerk - Edmonton

    • Our Edmonton office has an immediate opening for a full-time Office Services Clerk. The Office Services clerk is an essential role in assisting Fielders in their day-to-day work.

      Duties + Responsibilities

      Administrative Tasks:

      • Handling incoming and outgoing mail, packages, and deliveries.
      • Distribute incoming mail and deliveries to appropriate recipients.
      • Run high volume copy machines.
      • Perform jobs/projects that may require tight deadlines with accuracy. 
      • Handle highly sensitive and confidential documents. 

      General Office Support:

      • Maintain cleanliness and organization of common areas.
      • Assisting with basic troubleshooting (e.g., printer issues).
      • Ensure copiers are working properly (ex: Clears paper jams and inform technicians of specific problems).
      • Upkeep of copier rooms by keeping them neat and well stocked.

      Inventory Management:

      • Regularly monitoring office supply levels to prevent shortages or excess and ordering as needed.
      • Organize and restock supplies.

      Reception Coverage and Customer Service:

      • Operating the reception desk and handling calls.
      • Greet and welcome visitors, creating a friendly and professional first impression.

      Hospitality:

      • Arrange meeting rooms, beverages, and catering for internal events.

      Qualifications + Skills

  • Legal Support Clerk, Corporate Services - Edmonton

    • Our Yellowknife office is seeking legal support clerk to join the Corporate Services Department, working out of Edmonton office in support of our Yellowknife office. Reporting to the Manager, Corporate Services, this role will provide general invoicing and administrative duties for the clerks and paralegals.

      Duties + Responsibilities

      Pre-Billing/Billing:

      • Monthly lists for Domestic and Extra Territorial Corporations Annual Maintenance
      • Monthly lists clean up before passing to billing
      • Sending invoices to billing department
      • Setting reminders
      • Quarterly reporting 

      Billing Support:

      • New vendor setups
      • Time entries for missing time as well as standard monthly time entry
      • Liaising with team on client billing inquiries
      • Cancelling, sorting and reissuing billings

      Post Billing:

      • Contacting client about trust funds

  • Paralegal, Corporate Services - Yellowknife

    • Our Yellowknife office is seeking an experienced Paralegal to join the Corporate Services Department, working out of Edmonton or Calgary in support of our Yellowknife office. Reporting to the Manager, Corporate Services, this role involves collaborating closely with lawyers and corporate services professionals across the firm. The successful candidate will be responsible for independently managing a broad range of corporate transactions across the Northwest Territories, Yukon, and Nunavut, including general searches and registration services, incorporations, share structure amendments, share issuances, transfers and redemptions, amalgamations, extra-territorial registrations, director and officer changes, and the preparation of related searches and reports.

      Duties + Responsibilities

      • Manage the incorporation and organization of territorial and federal corporations, including societies and not-for-profit entities.
      • Act as a key resource to lawyers on corporate transactions, including amalgamations, plans of arrangement, reorganizations, continuances, and corporate amendments.
      • Oversee and coordinate extra-territorial registrations in the Northwest Territories, Nunavut and Yukon, and ensuring ongoing regulatory compliance.
      • Registration of Limited Partnerships, both domestic and extra-territorial, including ongoing filings and structural changes.
      • Prepare, review, and approve dividend resolutions and other corporate authorizing documents, exercising sound judgment and attention to corporate governance requirements.
      • Conduct comprehensive minute book reviews, identify deficiencies, and implement corrective actions to ensure accuracy and regulatory compliance.

      • Process semi-monthly and monthly payroll accurately and on time for employees already set up in the payroll system
      • Enter and verify payroll data, including earnings codes, overtime, vacation pay, statutory holiday pay, and approved adjustments
      • Review payroll data for accuracy and completeness prior to submission
      • Prepare post-payroll reports following each payroll run
      • Reconcile payroll registers and identify variances
      • Provide payroll reports and supporting documentation to the Payroll Specialist for review and follow-up
